WhatsApp Business quick reply templates
Updated June 2026
If you run a business on WhatsApp, you answer the same questions all day — hours, prices, order status, payment details. These quick reply templates cover the essentials, so you can respond in seconds and keep every chat consistent.
The WhatsApp Business app has built-in quick replies (you trigger them with /), but they're capped and only work inside that app. On WhatsApp Web, ReplyKit lets you insert unlimited saved messages by typing // in the chat box — and the same library works in your email and help desk too. Save the templates below and personalize the bracketed parts as you send.
How to set up your quick replies
- Install the free ReplyKit extension in Chrome.
- Open the popup and save each message below as a snippet — give it a clear name like "WA order shipped" and, optionally, a shortcut like
;ship. - Go to web.whatsapp.com, open a chat, and type
//in the message box. Pick the reply and it's inserted at your cursor, ready to personalize and send.
Because snippets live in your browser, the same library is one keystroke away in every other tool you use — not just WhatsApp.

Tips for great WhatsApp quick replies
- Keep them short and friendly. WhatsApp is casual — a line or two with a warm tone beats a formal paragraph.
- Use the customer's name. A placeholder like
{name}makes a template feel one-to-one. - A little emoji goes a long way — but don't overdo it.
- Have your top three ready: greeting, order status, and payment info cover most chats.
- Keep details current. Update hours, prices and links whenever they change.
Why ReplyKit beats the built-in quick replies
WhatsApp's native quick replies are handy but limited: there's a cap on how many you can store, no folders, and they don't follow you outside the app. ReplyKit keeps an unlimited library (on Pro), organized into shortcuts and folders, and the very same snippets work in Gmail, your help desk and any web form. Add placeholders so the order number and date fill in automatically, and you'll reply faster everywhere — not just on WhatsApp. And because everything is stored locally on the free plan, your customer conversations stay private: nothing is uploaded to our servers or shared with anyone.
